Planning a destination wedding is thrilling, but it can also feel overwhelming. From coordinating travel to ensuring every detail of your ceremony is flawless, there’s a lot to consider. That’s why speaking with a resort’s in-destination wedding expert is essential. We sat down with Isabel Flota, Weddings Sales and Operations Manager at Playa Hotels & Resorts, to find out the top questions couples should ask when booking their dream wedding abroad.

1. How far in advance should I book?
Destination weddings require careful planning because there are many moving parts, including travel, accommodations and guest logistics. The sooner you book, the more options and flexibility you will have. Flota advises, “Booking early gives you plenty of time to plan every detail, send invitations and allow your guests to arrange travel and accommodations. Destination weddings require coordination for everyone attending, so advance planning is key.” Booking early also increases your options for venues and dates, helping you create the celebration you’ve been dreaming of.
2. What’s included in the wedding package?
Every resort handles wedding packages differently, so it’s important to understand exactly what is included before booking. Packages can range from simple ceremonies for two to full celebrations with guests, receptions and entertainment. Flota explains, “Our packages range from simple, intimate ceremonies for just the couple to full celebrations with guests, cocktail hours, receptions, live musicians and DJs.” Couples can select a package that matches their vision, whether it’s a small, romantic gathering or a grand celebration with every detail planned.
3. Where will the ceremony and reception be held?
The wedding venue sets the mood for your wedding day, so ask about all the available options. Outdoor spaces, rooftop terraces and ballrooms all offer different vibes and logistics. Flota shares, “Our resorts offer a variety of stunning locations. Couples can choose beach ceremonies with ocean breezes, romantic gazebos, rooftop terraces with panoramic views or lush garden lawns. Indoor ballrooms are also available as a classic option or backup.” Your wedding coordinator will guide you to a space that reflects your personality and complements your desired aesthetic.
4. What happens in case of bad weather?
Weather can be unpredictable, especially in tropical destinations, so always ask how your resort manages contingencies. Flota says, “While we hope for sunshine, we plan for every scenario. For each outdoor venue, we reserve a beautiful indoor backup space.” Coordinators consider timing, setup logistics and guest comfort to ensure the day remains magical, rain or shine.
5. Can we personalize our package?
Your destination wedding should reflect you as a couple, so check how much flexibility there is to customize your celebration. Flota notes, “Every couple is unique, and so are our weddings. You can choose your favourite colours, décor themes, floral styles and special enhancements to make your celebration one-of-a-kind.” While packages themselves aren’t swapped, Playa’s on-site team helps couples tailor upgrades such as lighting, live entertainment or luxury details.

6. How many weddings happen per day?
Privacy and attention can make a big difference in your experience. Knowing whether multiple weddings occur at the same time helps you set expectations. Flota explains, “We usually host one wedding per day to ensure each couple receives full attention. Occasionally, multiple weddings may be scheduled, but we carefully plan timing and locations so every celebration feels private and special.”
7. Is there a minimum and maximum number of guests required?
Guest lists can vary greatly, from elopements to large family affairs. “We welcome weddings of all sizes – from intimate elopements with just the two of you to grand celebrations with hundreds of guests,” says Flota. “There’s no required minimum or maximum; however, each resort’s indoor backup space determines the true capacity limit.” She adds that confirming your guest count early helps ensure every detail – from venue setup to catering – runs seamlessly.
8. Do you offer special group rates or perks for guests staying at the resort?
Many destination wedding resorts offer attractive incentives for booking multiple rooms. Flota says it’s a win-win for everyone involved: “We offer special group rates and encourage couples to secure a room block to guarantee availability for their loved ones. Group bookings often come with perks such as complimentary nights that couples can use for themselves or assign to special guests.”
9. Are there any restrictions for the ceremony or reception?
Every destination has its own event guidelines, which can vary by venue. “Each resort follows specific rules related to setup, music curfews and timing,” Flota notes. “Outdoor events may have sound restrictions, especially during turtle nesting season.
Our in-house vendors know the logistics and regulations, ensuring everything runs smoothly from start to finish.”

10. Does the resort assist with legal paperwork and licences?
Legal requirements differ by country, but couples won’t have to navigate them alone. “Our on-site wedding team will guide you through all the legal requirements needed for your ceremony,” Flota says. “Some documents may need to be notarized or translated, but we’ll connect you with the right local resources and make sure the process stays stress-free.”
11. Who will officiate the ceremony?
Resorts typically provide flexibility when it comes to officiants. “Our wedding packages include a non-denominational officiant for symbolic ceremonies, while legal weddings are performed by a local judge,” Flota explains. “Some couples even have a friend or family member officiate – we’ll help with logistics to make it personal and meaningful.”
12. Will an on-site coordinator be there on the day?
Having a dedicated coordinator ensures everything runs smoothly from start to finish. “From the moment you book, you’ll be connected with your on-site coordinator, who will guide you every step of the way,” says Flota. That same coordinator will be present on your wedding day and can also assist with pre- and post-wedding activities. “For excursions, we partner with trusted local DMCs who take great care of wedding groups, all in coordination with your on-site team.”
13. Can we do a wedding rehearsal before the wedding day?
“Yes, absolutely!” Flota says, noting that a rehearsal helps everyone feel confident and organized. “Your on-site coordinator can arrange a walk-through to practise the ceremony flow and key moments. Just book it in advance to secure the space – it’s a fun way to review details and start the celebrations early.”
14. Do you offer a site visit before the wedding?
Seeing the venue firsthand (or virtually) can help couples visualize their big day. Playa Hotels & Resorts has a Big Day Preview program that includes a two-night stay at a special rate so couples can meet the team and explore venues. “If you book afterward, we’ll credit the room rate toward your wedding. We also offer discounted planning visits and virtual tours for those unable to travel,” says Flota.
15. Do you have a preferred list of vendors, or can we bring our own?
Many resorts partner with trusted local vendors but remain open to custom choices. Flota notes that Playa collaborates with preferred vendors who know the properties well to ensure flawless service. “If you’d like to bring your own vendors, such as a photographer or DJ, just let your coordinator know in advance. Outside vendors may require a site visit and are subject to fees, but we’ll coordinate everything for a smooth experience.”
16. Do you offer honeymoon upgrades or packages?
For couples looking to extend the romance beyond the big day, many resorts offer special touches. “We love celebrating every chapter of your love story,” says Flota. “Honeymoon and anniversary guests receive romantic in-room amenities, while vow renewals can be booked using our wedding packages. Some premium options even include a complimentary anniversary night when you book four nights.”
